Roll Nook provides event production and themed entertainment in New Zealand. These terms apply to rollnook.club and form the general basis for our event-service discussions.
Our 20+ participation requirement is a business policy; venue access and alcohol rules may also apply. The Responsible Themed Entertainment page explains the casino-themed format and participation requirements.
Enquiries and confirmed bookings
Submitting a form, requesting a price or discussing a date does not create a booking or reserve availability. A booking is confirmed only through the written acceptance and payment arrangements set out in the proposal. Do not treat suppliers, equipment or a venue as secured until their inclusion is confirmed.
The written proposal records the event date, location, scope, responsibilities, price, tax treatment, payment schedule and any specific conditions. Read it together with these terms. Any agreed variation must be recorded in writing. Nothing in a proposal or these terms overrides rights that cannot lawfully be excluded.
Prices and payment
Website prices are indicative planning budgets for the stated starting scopes. They are not a guaranteed quote for every date, venue or group size. Your proposal confirms the total payable, any applicable GST and separately identified costs before acceptance.
The accepted proposal or invoice sets out payment amounts, due dates and the payment method. We do not impose a website-wide deposit percentage or collect payment card details through the enquiry form. If payment difficulties arise, contact us promptly to discuss the effect on confirmed arrangements and any supplier commitments.
Information and client responsibilities
Provide accurate information about guest numbers, timing, venue facilities, access and the intended programme. Nominate a person authorised to approve decisions and communicate changes. Inform us early about relevant access, sensory or other guest requirements without sharing unnecessary personal information.
You are responsible for approving company content, names, award details, artwork and other materials you supply. Obtain any permissions needed for their use. Invitations should accurately describe the programme, participation expectations and applicable access requirements.
Venues, setup and pack-down
The venue must be suitable for the agreed activities and allow the confirmed installation, use and collection arrangements. Access details include loading, parking, stairs or lifts, floor space, power, furniture movement, noise limits and any restrictions on fixing or suspending items.
Setup and pack-down are separate from guest-facing programme time unless expressly stated. Late access, changes to the room or collection restrictions may affect staffing and equipment. We will explain any resulting scope or cost change before agreement where practicable. Unsafe conditions may require an activity to be paused or adapted, with reasonable steps taken to find a workable solution.
For outdoor events, the proposal should identify a weather alternative, decision process and any cost implications. Alcohol, if supplied by a venue or caterer, remains subject to that supplier’s arrangements and applicable requirements. These terms do not represent Roll Nook as an alcohol licensee.
Suppliers and specialist elements
Venue hire, catering, beverages, transport, accommodation, performers and technical production are included only when specified. The proposal explains whether a supplier is contracted through Roll Nook or directly by you and identifies relevant responsibilities.
We take reasonable care in coordinating the elements we agree to manage. Where a supplier change becomes necessary, we will discuss the effect on the event and any suitable alternative. A material substitution or cost change is not treated as automatically accepted. Your statutory rights remain unaffected.
Changes, cancellation and rescheduling
Contact us as soon as you need to change the date, venue, guest count or programme. We assess availability and the effect on work already completed, staffing, equipment and supplier commitments. A revised scope and any price change are confirmed in writing.
Cancellation and rescheduling conditions, including any committed or non-refundable supplier costs, must be stated in the proposal before you accept. Any charge should reflect the agreed terms and applicable law; we do not reserve a blanket right to retain all payments regardless of circumstances. We will explain relevant costs and any available refund or credit.
If Roll Nook cannot provide an agreed service, we will contact you promptly to discuss an appropriate remedy, alternative or refund according to the circumstances, the agreement and applicable consumer rights.
Events outside reasonable control
Severe weather, venue closure, transport disruption or other events beyond reasonable control may affect delivery. The affected party should notify the other promptly and take reasonable steps to reduce the impact. We will discuss adaptation, postponement or cancellation and explain any unavoidable commitments.
Such an event does not automatically remove consumer rights or permit charges unrelated to the agreement and circumstances. Any revised arrangement should be recorded in writing.
Intellectual property and website material
Website text, branding and imagery may be protected by intellectual-property rights. You may use the website to consider our services, but commercial reuse requires permission from the relevant rights holder. Client-supplied materials remain subject to their owners’ rights.
Event concepts, custom artwork and production materials are used or licensed as stated in the proposal. External links are provided for information and do not imply endorsement.
Consumer rights and complaints
Services are subject to the Consumer Guarantees Act 1993 where it applies, including relevant guarantees about reasonable care and skill and fitness for the agreed purpose. Nothing in these terms excludes rights under that Act or the Fair Trading Act 1986 where they cannot lawfully be excluded. These general website terms do not automatically contract out for business customers.
Raise a concern with the event contact or email [email protected], describing the event, issue and remedy sought. We will acknowledge the concern and investigate with the relevant information and suppliers. If it cannot be resolved, you may use an appropriate independent dispute process, including the Disputes Tribunal where it has jurisdiction.
