Who holds your information
Roll Nook collects and holds personal information for its event-production and themed-entertainment services in New Zealand. This statement applies to rollnook.club and related enquiry and booking communications. Our business address is Suite 7, 2–16 Wakefield Street, Auckland Central, Auckland, New Zealand. Information you give us
The enquiry form requires your name, email address, event type and event brief. Company, phone number, preferred date, location and guest count are optional. Required fields let us identify the enquiry, understand the service requested and respond. Without them, the form cannot be processed; you can instead email or call us.
If an enquiry becomes a booking, we may also need the organiser’s contact details, agreed supplier contacts, venue access information, billing details and the requirements needed to deliver the event. We ask only for information relevant to the service. Please avoid sending payment card details, identity documents or unnecessary sensitive information through the website.
If you provide information about another person, such as a colleague coordinating the event, make sure you have a proper basis to share it. Where we collect personal information indirectly, we will provide the notification required by information privacy principle 3A, unless a lawful exception applies.
Technical information and storage
The website uses a session cookie on pages containing the enquiry form and on the acknowledgement page. The session supports form security, validation, a short submission limit and the acknowledgement state. The Cookie & Tracking Notice explains this storage.
The website sends enquiries through its mail service and does not keep an enquiry database. Website and email providers process the information needed to serve pages and deliver messages. Fonts and images are stored with the site. We do not use analytics or advertising tracking.
Why we use the information
We use enquiry information to respond, assess feasibility, prepare proposals and communicate about your event. For bookings, we use the necessary details to organise delivery, coordinate agreed suppliers, manage invoices, resolve concerns and meet applicable legal obligations. We may use relevant technical information to maintain security, prevent misuse and investigate delivery problems.
Sending an enquiry does not subscribe you to marketing. We use your contact details to reply and communicate about your event.
Who may receive it
Information may be accessed by the Roll Nook people handling your enquiry or event and by service providers supporting our website, email and business administration. An agreed venue, host or supplier receives only the details needed for their role. We do not sell enquiry information. We may also disclose information where you authorise it or where disclosure is permitted or required by law.
Security, retention and privacy incidents
We use proportionate safeguards, including restricted access to enquiry information and form protections against invalid submissions. The form validates submitted values, checks a session security token and sends the enquiry through the hosting provider’s mail service. No transmission or storage method can be guaranteed to be completely secure.
We keep personal information for as long as it is needed for the enquiry or booking, related administration, dispute handling and applicable legal record-keeping requirements. We then take reasonable steps to delete or de-identify information that is no longer needed.
If we have reasonable grounds to believe a privacy breach has caused or is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as soon as practicable, as required by the Privacy Act 2020, subject to any applicable exceptions. We will also take steps to contain and address the incident.
Access, correction and concerns
You can ask for access to personal information we hold about you or request correction by emailing [email protected]. Explain the information or interaction concerned. We may reasonably verify your identity before releasing information. We will respond within the time required by the Privacy Act and explain any lawful refusal or extension.
If we do not make a requested correction, you may ask for a statement of the correction sought to be attached to the information as provided by the Act. Please contact us first if you have a privacy concern so we can investigate. You can also contact the Office of the Privacy Commissioner.
